Instructions for Participants

1. Eligibility

Anyone wishing to participate in the meeting must register.

Only members of the Japanese Society of Intensive Care Medicine are eligible to apply for general presentations, regardless of being a presenter or co-presenter. Those who are not members must complete the procedures to become a member.

2. Participant registration

Please pay the registration fee at the registration desk.

Participant registration will differ for members and non-members. Members must bring the “member registration slip,” which is enclosed in this journal, and submit it at the (member registration) desk. If you forget to bring the “member registration slip,” it may take some time to conduct member reference.

*1 Resident physicians must submit the Participant Application Form (which must be signed by the supervisory physician). Please download the Participant Application Form from the Annual Meeting of the Japanese Society of Intensive Care Medicine website, fill in the necessary information, and submit it to the general registration desk on the day of the meeting.
*2 This targets corporate participants. Please submit your business card at the registration desk on the day of the meeting.

3. Submission of the Annual Meeting Certificate of Attendance

Please fill in the necessary information for the Annual Meeting Certificate of Attendance (to be submitted), which is attached to the Participation Certificate, and insert the submission slip into the collection box, which will be set up near the participation registration desk.

4. Annual membership fee and new membership

The procedures for paying for an annual membership fee or to become a new member of the Japanese Society of Intensive Care Medicine can be conducted with the secretariat of the Japanese Society of Intensive Care Medicine, which will be set up at the Main Entrance, on 1F of the Kyoto International Conference Center, or the Lobby, on B2F of the Grand Prince Hotel Kyoto (during the same hours as participant registration).

2014 annual membership fees

Regular member: 12,000 yen
Associate member: 9,000 yen

5. Program & abstract booklet and pocket program

A pocket program with a list of the programs will be prepared on the day of the meeting. Please note that the number of copies will be limited.

A booklet of programs and abstracts (this booklet) that lists the selected abstracts and all the programs will be sent to the members prior to the meeting. This will not be distributed during the meeting. Those who become new members on the day of the meeting will be provided with the program/abstract after completing the membership procedure. The booklet of programs and abstracts will be sold at the meeting for 3,000 yen (consumption tax excluded) each, but please note that the number of copies will be limited.

6. Education seminars, evening seminars, and morning seminars

There will be no tickets necessary to participate in the education, evening, and morning seminars. Please come directly to the venue. The education seminar will be a luncheon seminar, and the lunch will be distributed as below. Lunch may be obtained by using the exchange ticket attached to the Participation Certificate.

7. Social gathering for members

There will be a social gathering for members at the Kyoto Aquarium from 19:00 on February 28 (Friday). A small dinner will be prepared. The participation fee is 2,000 yen, and those wishing to attend shall pay at the registration desk during the meeting (February 27 or 28). Invitations will be closed upon reaching a fixed number of participants.

* There will be a shuttle bus to take the participants to the Kyoto Aquarium from the Main Entrance of the Kyoto International Conference Center.

10. Request to physician members

Registering for credit using the e-igakukai card (UMIN card) (attendance credit defined by the Detailed Regulations for the Enforcement of the Intensive Care Physician Program)

Credits will be registered using the e-igakukai card (UMIN card) for physician members for this meeting. Physician members shall bring their e-igakukai cards.

Credit registration via the card will be conducted at only one place: the Lobby, 1F of the Kyoto International Conference Center. Physician members shall not forget to register for credit using their cards after completing the participation registration.

This year, the Participation Certificate will also serve as the official Annual Meeting Certificate of Attendance.

(1) Physicians with e-igakukai cards/td>

Please present your e-igakukai card at the dedicated location. A person in charge will read the barcode on the back of your card with a card reader and register credit.

(2) Physicians without e-igakukai cards, including those who forgot to bring their cards

Please follow the procedures necessary for credit registration at the credit registration desk for such members, which will be set up next to the dedicated location. Please note that we may ask for ID verification during the procedure.

Physicians who have registered for credit via A) or B) will be able to confirm their attendance credit through the member website (e-igakukai My Page) by two to three weeks following the meeting.

Requesting the presentation of your e-igakukai card (UMIN card) when participating in a sponsored seminar

Research on attendance trends will be conducted by reading your e-igakukai card for some sponsored seminars to be held at this meeting. The research will be utilized by the secretariat and by sponsoring companies to create future programs.

We appreciate your cooperation, unless you want to participate under anonymity.

There may be cases in which the sponsoring company will send out information after the meeting to those who had their e-igakukai cards read. Please be noted that the personal name and company of the participant will be shared with sponsoring companies. Personal information will not be used for purposes other than those mentioned above.

* In order to conduct the smooth reading of card information, please insert your e-igakukai card into the backside of the name holder in a way that the barcode is showing.

11. Requests

  1. Smoking is prohibited in all areas during the meeting.
  2. Participants may find that the usage of mobile phones and other mobile devices by others during presentations and poster sessions can be distracting. The usage of such devices is prohibited during the meeting. Please turn off the power of these devices or keep them in silent mode.
  3. The secretariat will not offer paging services, in principle.
  4. The use of cameras and video cameras, etc., for taking photos and recordings is prohibited during the meeting.
  5. There will be a coatroom at various places in the venue. Please confirm the service hours.
